The Office, Administrative & People Experience Coordinator will play a vital role in ensuring smooth office operations, enhancing employee experience, and providing administrative and financial support. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to multitask across office management, people engagement, finance, and workshop support functions
Responsibilities:
1. Office Management & People Experience
- Serve as the Office Manager, liaising with other SEA Office Managers to ensure seamless operations.
- Manage office and pantry supplies, ensuring availability and cost efficiency.
- Coordinate with the Marquee office for meeting room bookings, repairs, maintenance, and shipping needs.
- Oversee vendor management, including suppliers for printing, merchandise, event support, and other office-related needs.
- Provide onboarding support to ensure a smooth transition for new hires.
- Organize and coordinate team celebrations (birthdays, farewells, and other special occasions).
- Plan and execute team-building activities to foster a positive and collaborative work environment.
2. Finance & Administrative Support
- Manage the office budget effectively, ensuring alignment with financial policies.
- Act as the Petty Cash Holder, responsible for petty cash management and reporting.
- Support the processing of Statements of Work (SoW) & agreements with clients, partners (associations, event partners, media, etc.).
- Assist in the preparation of bidding documents for various projects.
- Ensure proper filing and documentation of office and finance-related materials.
3. Workshop & Program Support
- Provide technical and logistical support for workshop deliveries, including:
- On-Demand Programs (ODP) & Skill Development Programs (SDP) including:
- Assist facilitators in preparing class layouts, logistics, and materials to ensure a seamless learning experience.
- Support the facilitation of group discussions by co-facilitating and guiding participants.
- Monitor group assignments, address participants' questions, and provide clarifications to enhance engagement.
- Delivery Operations (DO) & Virtual Meeting Operations (VMO) for virtual workshops.
- Act as the BTS ID Social Impact Champion, serving as the primary point of contact for Social Impact initiatives in Indonesia, in liaison with Prim (TH Office) as the SEA Social Impact Champion.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Human Resources, Finance, or a related field.
- 1-3 years of experience in office management, administration, or people experience roles.
- Strong organizational and multitasking skills with attention to detail.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Excellent communication and interpersonal skills to engage with employees and vendors.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting tools.
- Experience in budget management and petty cash handling is a plus.
- Familiarity with workshop facilitation or learning & development programs is advantageous.
