Our Executive Coaching Center of Excellence focuses on individual executive coaching that helps senior leaders build self-awareness, understand their impact, envision how they want to lead, and then navigate a path to being as effective as possible. The operations coordinator will be a central member of our team and be responsible for client contracts and purchase orders, operational tracking, business development support, scheduling quality surveys, and working closely with our accounting team.
The ideal candidate loves and is excellent with details, communicates clearly, precisely, and concisely, enjoys and has been successful at juggling multiple priorities in a fast-paced environment, demonstrates a positive, can-do attitude, and builds strong virtual relationships.
Responsibilities include:
- Creating, requesting, and tracking statements of work and purchase orders creating and sending SOWs and contracts to clients, following up to get them signed, requesting POs, following up to get them issued, and tracking progress to ensure timely completion.
- Tracking business development results entering new projects sold into Smartsheet and Salesforce, and tracking sales attribution credits accurately and completely.
- Documenting and communicating project revenue and expense details creating Client Revenue Summaries, ensuring all expenses and dates are complete, accurate, and match policies, communicating with accounting, and resolving any questions or issues.
- Tracking team member staffing tracking project start dates and adding new projects to the database.
- Managing client quality surveys reviewing scheduled surveys generated by the database, making necessary adjustments, and ensuring contact information is accurate and complete.
- Updating internal records promptly adding new client records to the database, including all required fields.
- Reviewing contractor invoices and team member expenses ensuring accuracy, compliance with policies, and routing for payment in a timely manner.
- Process documentation updating and maintaining process documents as changes occur, ensuring all procedures are accurately captured and readily accessible.
- Managing various operational, marketing and business development projects creating project plans, tracking deliverables, communicating progress, and ensuring all activities are completed on time and as planned.
Skills and capabilities required:
- Unfaltering detail orientation consistently produces accurate, high-quality work on time and following instructions.
- Salesforce and Smartsheet --strong skills and experience using Salesforce and Smartsheet successfully.
- Fluency with Microsoft Office particularly Outlook and Excel, in a Windows environment
- Financial acumen experienced and comfortable working with basic financial concepts revenue, expenses, margin, accounts payable, accounts receivable, etc.
- Independent and self-motivated -- likes working on their own and behind the scenes. Experienced and happy working in a virtual environment with most team and client interactions via email.
- Project coordination -- skills and experience in administering projects including communicating project details and dates and following up with colleagues to ensure activities are completed on time and with high quality.
- Problem solving and process improvement -- intelligent, creative problem-solver who also thinks about how to make processes more effective and/or efficient.
- Team player -- a positive and caring colleague who builds strong relationships virtually, demonstrates a can-do attitude consistently, and eagerly pitches in wherever its needed to help the team succeed.

The role is 100% virtual and will report to our senior operations manager.
Compensation: $60-70K (salary and bonus) and generous benefits.
